KPI Analysis provides a swift and insightful pulse check on the performance of schools. KPIs empower trusts to make informed decisions, strategically allocate resources, and foster a culture of continuous improvement. This essential analysis streamlines monitoring and serves as a catalyst for elevating educational outcomes within the trust, ensuring a path to sustained success.
The data on this page is powered by the KPIs assigned to schools within the system. For more information on KPI Administration, click here. For details on assigning KPIs to schools, click here.
Accessing KPI Analysis
From the main menu, click Analysis > KPIs.
If no KPI Sets are assigned to schools, the page will display 100% not set. As you assign school KPIs, the analysis will automatically update.
Use the KPI Sets dropdown to switch between different KPI Sets created by your administrators.

The KPI section title updates based on the chosen Set.

The percentage (or count) of schools with a grade for that Set will display beneath the title.

You can toggle between percentage and counts using the radio buttons on the right.
Data to Visualise Options
The Data to Visualise dropdown allows you to switch between several analysis dashboards:
1. School List
Shows a list of schools with their assigned KPIs and grades. This provides a quick overview of overall performance, aiding efficient resource allocation and strategic planning, making this area a powerful tool for effective education management within a trust.
One excellent piece of functionality on this list is the ability to make quick changes to schools or individual KPIs (you can also bulk edit KPIs, which is referenced in the next section). This eliminates the need to go through your school's dashboard and saves you valuable time.
To make quick edits:

Hover over a school/KPI and click Edit KPI to change the grade.

Updated KPIs show who last updated them and when.

Use Save KPI as of Today or Save All as of Today to confirm current KPI grades.

This functionality allows you to, at the click of a button, confirm that everything you are seeing is still correct at the exact moment in time. Any Observatory user with Analysis access will be able to see that you confirmed the accuracy of the data.
Note: KPIs can only be edited if you are viewing today’s data.

The Export function allows you to export your School KPI list in three formats: Excel, Image (.png), and a PDF file.
Please Note: Excel will be the only export available if you have more than 10 KPIs on the Set in the Single School View.
2. Aggregation
Aggregation offers a bird’s-eye view of KPI performance.

Switch between percentage and count displays.

Toggle KPI Legends on for clarity.

Hovering over a grade unlocks powerful options:

See Schools – zoom into the School View to see which schools have that grade.

Create a Group – automatically build a new school group in Admin with those schools pre-selected.

This makes it easy to spot trends and then take immediate action.
School List Single KPI Trend
The School List - Single KPI Trend allows you to select a KPI Set and custom date range to view a full list of your schools and their Overall KPIs/RAG ratings for the timeframe. This allows for a quick snapshot of how all schools perform over time.

Hover over the graph to view KPI ratings month by month.

Click a school name to see its Single School Trend or dashboard for a deeper dive.

Single School Trend
The Single School Trend analysis allows you to filter for a specific school's KPI/RAG ratings against a specific Set, saving you valuable time. Hovering over the graph allows you to see the KPI rating as it was for a specific month and the KPI Legend.
You can click on Overall to see all schools within your Trust.

Single School Summary
The Single School Summary is a time-saver for leaders. Instead of navigating school by school, you can see all KPI Sets for a single school in one place.
