The Visits Dashboard keeps all your visit records stored in one place, making it easy for you to monitor upcoming or completed visits, track overdue records and actions and oversee schools that have been visited recently within your trust. The Visits Dashboard allows you to keep on top of everything within one central location!

Please Note: Visits & Actions are only available on Observatory premium. Non-premium members can still record notes for schools. If you wish to get in touch about signing up to use Observatory premium, please contact perspective@angelsolutions.co.uk

To access your Visit Dashboard, hover over Activities and click Visits.

Filters & Options

The filters across the top of the page are your general filters and allow you to refine your search for schools, groups of schools, advisers or dates. You can create a new visit record directly from this page by clicking New Visit.

We automatically display key charts and figures within each of the three tabs that the Visits page is split into. These are:

  • Visits
  • Schools
  • Advisers

The same options are consistent in the Visits and Schools tabs and are available via the Options icon on the right-hand side of each row.

Edit Visit allows you to enter the visit and make changes to it. If the visit is already finalised, this option will read Set to Draft and Edit. You'll need to ensure you finalise this record again once you have made your changes.

Edit Visibility allows you to change who can access the visit within the organisation and whether to make the visit visible to the school.

Download Report begins a PDF download of the visit.

New Visit starts a brand new visit for that school.

Delete Visit will remove that visit from Observatory. Please note that this action cannot be undone.

Visits

The Visits tab gives you analysis breakdowns based on the visits themselves. The system displays overdue visits, a split of visit types and the number of visits in your system that are currently empty. 

When the visit tab is selected, your list of visits will display.

If you are unable to locate a specific record, please check the filters within this tab and at the top of the page.

You can refine the list further by using the dropdown on the left or the keyword search on the right. 

Clicking on a school name will redirect you to the dashboard for that school within the Schools section of Observatory. 

If a visit record has the below symbol with a number alongside it, it means it's a cluster visit, and other schools were involved in that visit. In this example, Ashdon Primary School was the lead school, and three other schools were involved.

Hovering over that icon will display the three other schools with direct links to their dashboard. You can also hover over the icon to display the admin time and duration. 

Schools

The Schools tab aggregates your visit data by schools, so you can easily see the current status of your schools, the number of visits they have had and some additional useful info. This saves you from navigating to the individual school profile each time!

As always, clicking the school name will take you directly into that school's dashboard. You can refine the list further by using the dropdown on the left or the keyword search on the right. 

The number of visits the school has had will be displayed in the Visit column. Hovering over that number will display an option to take you directly to the visits tab for that school.

 

Advisers

The Advisers tab aggregates your visit data by the adviser, so you can quickly locate each person in your account, the number of visits they have undertaken, and the amount of time spent with schools.

You can refine the list further by using the dropdown on the left or the keyword search on the right. 

Hovering over the adviser name will display their email address, allowing you to contact them quickly. The page also shows the last time they logged into Observatory.

Their visit data is shown alongside. You can see the number of visits in total, along with the number that are finalised. This allows you to identify the advisers with open or overdue visits quickly. 

The page also displays other valuable aggregations, such as the total duration of their visits and administration time.
