Managing and tracking school visits can be time-consuming, but the Visits Keyword Search makes it quick and effortless. Instead of manually sifting through reports, you can instantly locate relevant visits by entering a keyword—whether it's an action point, adviser name, school, or focus area. This powerful search tool saves valuable time, enhances efficiency, and ensures key information is always at your fingertips, helping your organisation make faster, data-driven decisions without the hassle of endless searching.
Keyword Search
To access the Keyword Search, hover over the Activities tab in your main Observatory toolbar and select Visits Keyword Search. You can also get to it via the Visits dashboard.
Please Note: By default, the keyword search looks at finalised visits. To view results for both finalised and draft visits, change the Status filter to 'Any'.
The search also only returns visits you have permission to view. If you can’t locate a specific report, it may be due to your access levels. Contact your Observatory Administrator for assistance.
Enter a keyword in the search box and click on the search icon or hit enter. If your account contains a large number of records, this search may take a few seconds.
Results related to your search will then be returned, and the word or phrase you entered will be highlighted in yellow.
If the word or phrase is in multiple sections, every occurrence of it will be returned, allowing you to see all the locations where the word or phrase is present throughout all visits you have access to.
Clicking on a section will open a pop-up box containing the full section content. The word or phrase you searched for will remain highlighted.
This allows you to quickly view the surrounding context of your keyword without having to scroll through the entire report! If you do need to see the full report, click Go To Visit.
In the below example, the key word that was searched was 'support'.
Visits can be searched based on:
- Actions
- Adviser names
- Attendee names
- Focus
- School(s) name
- Section content
- Visit category / Funding category
You can use the filters on the page to refine your search further.
You can Download the visit report by selecting Download Report or find additional information by hovering over the Info icon to the right of the visit.
To quickly navigate to the school's dashboard to which the visit relates, click on the school's name.
